General Policies

At Kalwa Technologies, we strive to provide the highest quality hardware and software solutions. We understand that occasionally a product may not meet your expectations. Our policy is designed to be fair, transparent, and efficient.

Returns & Refunds

1. Returns (Hardware)

We accept returns on physical hardware items (laptops, components, networking gear) under the following conditions:

  • Timeline: Items must be returned within 14 calendar days from the date of delivery.
  • Condition: The item must be unused, in the same condition that you received it, and in its original, unopened packaging.
  • Restocking Fee: A 15% restocking fee applies to hardware that has been opened but is not defective.
  • Exclusions: Custom-built PCs or modified hardware are not eligible for “change of mind” returns.

2. Software & Digital Products

Due to the nature of digital assets, software licenses, product keys, and digital downloads are non-refundable once the key has been delivered to your email address. We strongly recommend verifying system compatibility before completing a purchase.

3. Defective or Damaged Items (DOA)

If you receive an item that is defective or damaged during transit, you must notify us via WhatsApp or Email within 24 hours of delivery. We will arrange a free pickup and provide an immediate 1-to-1 replacement or a full refund upon technical verification.

4. Refund Process

Approved refunds are processed within 3–5 business days and issued via the original payment method (M-Pesa, Credit Card, or Bank Transfer).

5. Cancellations

You may cancel standard orders within 2 hours of placement for a full refund. Dispatched orders cannot be canceled but may be returned following our hardware guidelines.

Shipping & Delivery

1. Delivery Timelines

  • Digital Products: Instant delivery via email 24/7.
  • Nairobi & Environs: Next-day delivery for orders placed before 2:00 PM.
  • Rest of Kenya: 2–3 business days via our logistics partners.

2. Shipping Costs

Standard rates are calculated at checkout based on location and weight. Free delivery is applicable on select high-value items or promotional periods as indicated on the product page.

Privacy & Data Security

  • Data Usage: We only collect information necessary to process your order (Name, Phone, Address).
  • Security: We use industry-standard SSL encryption. We do not store your credit card or M-Pesa PIN details on our servers.
  • Third Parties: Your data is never sold. It is only shared with essential partners (like couriers) to fulfill your delivery.
